Conference Manager

GIE Media - Conference Manager Position

The Conference Manager is a full-time position that reports to the Director, Conferences and Events. The position requires a high-energy individual capable of working independently on a variety of tasks simultaneously and someone who can take a project from inception to completion. Other qualifications required for the position include:

  • Highly proficient in project planning and event management.
  • The ability to work collaboratively within a team environment while also working independently on assigned projects.
  • Excellent organizational, multi-tasking and follow-up skills.
  • Excellent verbal and written communications skills.
  • Experienced in planning and managing the detailed financial aspects of conferences and events.
  • Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), and working knowledge of the Adobe Creative Cloud (Acrobat, InDesign, Photoshop).  A working knowledge of Cvent or a willingness to learn online registration systems and other event planning tools is a must.
  • Experience working with multi-media, IT and AV in relation to events.
  • 5 -7 years previous event experience in a similar role.
  • A willingness and flexibility for travel.
Job Responsibilities

The Conference Manager will be responsible for the following:

  • Under the direction of and in collaboration with the Director, Conferences and Events, assist in handling all aspects of event management, including venue selection, audio/visual arrangement, and food and beverage, in conjunction with activities, room block management and other operational logistics.
  • Effectively negotiate terms and conditions with event venues and service partners to meet service expectations and ensure appropriate expense management.
  • Acts as key contact for on-site logistics for events serving as liaison between internal team members, speakers, sponsors, exhibitors, venue and service provider contacts. 
  • Creates and maintains financial event reporting documents to include estimates for future budget cycles, logistics budget summaries and submission of comprehensive post-event reporting information.
